Setting Up Rooms
Rooms are the spaces inside your event where your audience experiences content. Think of a room like a virtual venue — it could be a main stage for a live performance, a smaller meet-and-greet space, or any other type of gathering place you want to offer.
Before you can sell tickets or import orders, you need to create at least one room. This guide walks you through exactly how to do that.

What Is a Room?
A room is a virtual space inside your event where something happens. Every event needs at least one room. Here are some examples of how rooms are used:
- A "Main Stage" room for a keynote speech or live performance that everyone watches
- A "Meet & Greet" room for a smaller, more personal interaction between a performer and fans
- A "Backstage" room for VIP-only content or behind-the-scenes access
When a customer buys a ticket, that ticket gives them access to one or more rooms. For example, a "VIP Ticket" might grant access to both the Main Stage and the Meet & Greet, while a "General Admission Ticket" only grants access to the Main Stage.
How to Get to the Rooms Tab
- Log in to your Eventuall dashboard.
- In the left sidebar, click Events.
- Click on the event you want to set up rooms for. This opens the event detail page.
- At the top of the page, you will see a row of tabs: Details | Users | Orders | Rooms | Tickets | Livestreams | Recordings
- Click the "Rooms" tab.
You are now on the Rooms page for your event. If this is a brand new event, you won't see any rooms listed yet.
Creating a Room
Step 1: Click "Create Room"
On the Rooms page, look for the "Create Room" button (it has a plus icon). Click it.
A pop-up window will appear titled "Create Room".
Step 2: Choose a Room Type
You will see two options to choose from:
- Show — A main stage for performances, presentations, or large sessions. Choose this for anything where one person (or a small group) presents to a larger audience.
- Meet & Greet — A smaller, interactive room for personal interactions or Q&A. Choose this for more intimate, two-way conversations.
Click on the one you want. It will highlight with a blue border to show it's selected.
Then click the "Next" button at the bottom.
Step 3: Enter Room Details
You will now see a form with two fields:
- Room name (required) — Give your room a clear, descriptive name that makes sense to your audience. For example: "Main Stage", "VIP Meet & Greet", "Backstage Lounge", "Workshop Room A".
- Description (optional) — Add a short description if you want. For example: "The main performance area for all attendees" or "Intimate Q&A session with the artist."
Step 4: Click "Create Room"
Click the "Create Room" button. You will briefly see a "Creating..." message, and then the window will close. Your new room now appears in the rooms list.
Repeat for Additional Rooms
Most events have at least two rooms (for example, a Main Stage and a Meet & Greet). Repeat the steps above for each room you need.
Understanding Room Types
| Room Type | Best For | Example |

| Show | One-to-many presentations. The audience watches and listens. | Live concert, keynote speech, product launch, webinar |
| Meet & Greet | Small group interactions. Participants can talk to each other. | Fan Q&A, networking session, small workshop, coaching call |
You can always create more rooms later if you need them. The room type helps the system set up the right technical configuration behind the scenes (like how video and audio are handled), so pick the one that best matches what will happen in that room.
Viewing and Managing Your Rooms
After creating rooms, the Rooms tab shows a table with your rooms:

To delete a room, click the actions menu (three dots or dropdown) on the right side of the room's row and select "Delete Room". You will be asked to confirm before the room is actually deleted.
Be careful when deleting rooms. If tickets have already been created for a room, or if customers have been granted access to it, deleting the room will affect those connections.

Now that you have rooms set up, the next step is to create tickets. Tickets are what connect your customers to your rooms — each ticket grants access to one or more rooms.
